Position Overview

We are seeking a proactive, organized, and client-focused Office Administrator to keep our day-to-day operations running smoothly. In this key role, you will be the face and voice of our firm—managing client interactions, streamlining document workflows, supporting tax preparation operations, and assisting with exciting marketing initiatives.

Key Responsibilities

Client Operations & Administrative Support

  • First Impression: Serve as the primary point of contact for client inquiries via phone, email, and in-person visits, ensuring a warm and professional experience.
  • Account Coordination: Route client inquiries and assign accounts to appropriate Account Executives.
  • General Office Operations: Oversee core administrative functions, including filing, document scanning, digital organization, and mail handling.

Tax Preparation & Document Management

  • External Folder Setup: Create secure external client folders in SharePoint for clients to directly upload tax and accounting documents.
  • Process & Checklist Verification: Monitor client SharePoint folders and verify customer document checklists to ensure all files are complete prior to tax preparation and accounting services.
  • Client Record Keeping: Document client communications directly in SharePoint client files and maintain ongoing archives of completed tax returns.
  • Database & Profile Setup: Create and update client profiles in the tax software and primary accounting systems.
  • Data Entry: Input comprehensive client information and initial consultation notes into firm databases

Sales & Marketing Support

  • Client Engagement: Initiate contact and conduct timely follow-ups with prospective clients who have expressed interest in firm services.
  • Marketing Initiatives: Assist inside and outside sales/marketing teams by drafting and sending promotional emails, producing social media posts, and contributing to monthly newsletters.
  • Event Coordination: Help organize firm events, client webinars, and educational seminars to attract new clients.

Qualifications & Skills

Required

  • High school diploma or equivalent.
  • 2-3 years of experience in office administration, customer service, or a related administrative role.
  • Bilingual fluency in English and Spanish (written and verbal) to support our diverse client base.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, and Teams/SharePoint).
  • Strong problem-solving abilities, outstanding organizational skills, and a demonstrated ability to manage multiple priorities in a timely, collaborative fashion.
  • High level of attention to detail and ability to handle confidential information responsibly.

Preferred

  • Experience using Microsoft SharePoint (external file sharing).
  • Familiarity with tax and accounting applications (e.g., Drake Software, QuickBooks) or basic accounting systems.
  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field.

Employment Trends

The number of jobs in the career for the past two years, the current year, and projections for the next 10 years. Job counts include both employed and self-employed persons, and do not distinguish between full- and part-time jobs. Sources include Emsi industry data, staffing patterns, and OES data.

    Education Levels

    The educational attainment percentage breakdown for a career (e.g. the percentage of people in the career who hold Bachelor’s Degrees vs. Associate Degrees). Educational attainment levels are provided by O*NET.

    Annual Earnings

    Earnings figures are based on OES data from the BLS and include base rate, cost of living allowances, guaranteed pay, hazardous-duty pay, incentive pay (including commissions and bonuses), on-call pay, and tips.

    Technical Skills

    A list of hard skills associated with a given career ordered by the number of unique job postings which ask for those skills.

      Core Competencies

      The skills for the career. The "importance" is how relevant the ability is to the occupation: scale of 1-5. The "level" is the proficiency required by the occupation: scale of 0-100. Results are sorted by importance first, then level.

        Job Titles

        A list of job titles for all unique postings in a given career, sorted by frequency.
