Position Summary
Dr. Gonzalez seeks an agile and hardworking Scribe & Remote Administrative Assistant (“Candidate”) to join her Hialeah office staff. The Candidate will collaborate and work closely with Dr. Gonzalez and the practice Administrator (Jesus La Rosa, Esq.).
The Candidate will provide the practice with administrative support. The role involves handling a large percentage of Dr. Gonzalez’ clerical work, so she can focus on her patients. As a Scribe, the Candidate will take notes during patient visits and make sure the patient’s chart is in order. As a Remote Administrative Assistant, the candidate will learn the ins and outs of the medical industry. From patient acquisition and intake to proper service, and billing. This role is especially impactful for candidates pursuing medical school or health care administration.
Dr. Gonzalez takes great pride in offering her patients the medical care they need. The fact that the office is located in Hialeah means that the patient population is largely first-generation Hispanic and predominantly Spanish-speaking. Hence, fluent Spanish is a requirement. The ideal candidate for this role will be assertive, take initiative, work hard without constant supervision, and actively provide solutions to problems.
Responsibilities
Daily job responsibilities may include completion of the following tasks:
o Providing Dr. Gonzalez and the practice Administrator with general administrative support.
o Scheduling calls, meetings, etc. and generally managing the calendar.
o Scheduling patient visits, labs, and follow-ups.
o Keeping track of your time using a standard billing model.
o Occasionally filling out applications (credentialing, insurance, etc.).
o Helping with billing.
Qualifications
The following qualifications, experience, and abilities will be necessary or useful to satisfy the responsibilities of the position:
o Eager to learn about the practice of medicine, interested in entrepreneurship and running a medical practice, looking to be trained and willing to exchange time for a reasonable wage plus mentorship.
o Experience working in a small business or other entrepreneurial setting.
o Must possess the highest standards of ethical conduct and professionalism (handling HIPAA-protected information).
o Comfortable navigating digital technology and new software with little supervision (candidate MUST have a computer that runs well and is able to integrate with all software used by Dr. Gonzalez’ team).
o Detail oriented, prompt, professional, and available to complete tasks in a timely manner.
o Experience utilizing internal database systems and cloud-based software, for instance shared drives such as Box.com.
o Experience with iCal, Gmail, Adobe, Office Suite (Word, Excel, etc.) or the ability to learn quickly.
o Comfortable with communicating via telephone with Dr. Gonzalez and her team on a regular basis.
o English and Spanish fluency are required.

o You are looking to work in a traditional office context (you demand structure, clear cut instructions and seek an employer who will spell everything out for you) and the volatile nature of working with a small business scares you.
o You are shy, expect your supervisors to hold your hand and walk you though tasks step-by-step, and need significant supervision to complete projects.
o You are not an “all hands-on deck” team player (you can’t be bothered to do work that you think is “beneath” you); and,
o You are unable or uncomfortable communicating with people (internally or externally).

Excellent communication skills (oral, written and listening). Sound judgment and flexibility. Strong organizational skills, including the ability to coordinate multiple support tasks.
