We are seeking an organized, detail-oriented Clinical Program Manager to join our collaborative team in Boca Raton, FL. The Clinical Program Manager will oversee the daily operations of the Care Support department, provide direct care to clients, assist with the development of new programs and groups, and monitor clinical services and documentation for quality assurance. This is a part-time, 20-25 hours per week position with the opportunity to grow to a full-time role.

In addition to other duties, the Clinical Program Manager is responsible for:
Client Care
- Admit new and renewing clients into specialized treatment programs by creating estimates and helping facilitate the payment process with clients and families
- Establish treatment programs by setting schedules and coordinating services being provided
- Provide individual and group client support as directed by primary therapist
- Serve as a liaison between the client and their treatment team
- Provide program meal support and snack support
- Provide Safe Space support for clients in crisis
- Monitor client progress by verifying clients’ attendance, reviewing program service usage, observing and evaluating treatments and responses, advocating for needed services, obtaining additional resources, and intervening in crises
Program Development
- Collaborate with Team Members to create new programs and services to meet the demands of clients and the local communities
- Provide administrative oversight for new programs, groups, and workshops
- Track group enrollment for process and support groups
- Improve treatment results by studying, evaluating, and redesigning processes; implementing changes; rewriting policies and procedures
Leadership
- Create and monitor Care Support department staff schedule, breaks, and time-off requests
- Manage case assignments for Care Support staff
- Assist Clinical Director with coordinating and conducting interviews for internship candidates
- Collaborate with HR Director to coordinate and facilitate new-hire training for Care Support Specialists and Student Interns
- Supervise daily activity of Care Support department staff
Quality Assurance
- Periodically review records and perform documentation audits to ensure accurate charting and that treatment adheres to established policies, procedures, and standards of care
- Assist with monitoring compliance to legal guidelines, internal policies, and quality standards
- Support Team adherence to Company policies & procedures and report deviations to the Leadership Team
Administration
- Manage daily opening and closing procedures specific to the Care Support department
- Maintain updated knowledge of all programs and services
- Attend weekly clinical meetings, staff meetings, and training programs as required by management
- Track client program and group status in QuickBooks and inform providers when renewal period is approaching
- Assist clinical providers with phone calls, scheduling, and other tasks for non-program clients where sensitive situations and information are relevant
- Act as main point of contact for Enrichment Service Providers; communicate with providers to establish schedules; ensure Enrichment Services invoices are accurately entered
- Work with Care Support department and HR Director to develop monthly and seasonal community building themes and activities
- Participate in cross-training to be able to provide backup assistance to the Intake team, as needed
- Assist and support other Team Members in their efforts to provide exceptional service to and care to each individual client
- Perform other related tasks as assigned by management
Education and Qualifications
- Bachelor’s degree or higher in Social Work; Master’s degree in Social Work preferred
- Minimum 2 years’ experience in a clinical office setting; previous supervisory experience preferred
- Superior organizational skills and attention to detail
